Senior Administrative Assistant
Title: Senior Administrative Assistant
Location: NH-Lebanon
The primary role of the Sr. Administrative Assistant is to provide high-level administrative support to multiple members of the Timken Aerospace leadership team including the President of the division, the General Manager, and Director of Operations. This position manages the key activities of the executive team and has ownership for the successful planning of meetings, travel, events, daily schedules, and handling of special projects. Delivers and organizes administrative support in a manner which maximizes the productivity and efficiency of these leaders allowing them to focus on the top business priorities.

Job Responsibilities:

1. Exercise a great deal of judgment, confidentiality, and efficiency in the performance of all duties. Maintain working knowledge of business functions to facilitate work flow, gathering of information, chain of responsibility in order to assist leaders.

2. Manage calendars of leaders to allow for the most effective use of time. Exercise judgment in arranging leaders' schedules to ensure highest priority meetings are held within necessary time frame. Rearrange leaders' schedules to accommodate last-minute, priority meetings or trips that become necessary. Allow for preparation time prior to major meetings or trips.

3. Plan and coordinate domestic and international travel to assure maximum benefit of leaders' time in any location. This position has responsibility for the accuracy in the planning of air and ground transportation, overnight accommodations, detailed itineraries, passport, visas, and necessary immunizations. Maintain leaders? travel expense account by preparing and filing expense reports following meetings and trips. Ensure all necessary documentation is provided, reports are
processed accurately and reimbursements are received.

4. Coordinate meeting logistics, including teleconferences/videoconferences, and presentation materials as needed. Ensure leader receives any needed background information prior to meetings and trips.

5. Perform screening and prioritization of incoming mail/phone calls as completely as possible so as to use as little of leaders? time as possible. Respond to inquiries/calls from reporters, investment analysts, or other parties with a high amount of tact and diplomacy. Be aware of and draw leaders' attention to replies required, deadlines and necessary follow-up. Forward inquiries to others in company for reply or action when it could be better handled by someone other than leaders. Initiate replies to routine correspondence.

6. Prepare correspondence, meeting minutes, reports and presentations as needed or requested by leaders. Evaluate and edit content, grammar, spelling and punctuation of letters, memos, speeches and presentation materials for completeness and accuracy.
High School diploma/GED with 10 years of secretarial, office administrative experience. Associate's degree with 8 years or Bachelor's degree with 5 years experience also accepted.
High degree of professionalism, judgment, and confidentiality required.
High amount of proficiency with MS Office suite required.
5-10 years experience providing admin support to senior leadership or executives required.
Strong organizational skills and attention to detail required.
Experience handling international travel arrangements desired.
